What is the Recording Notification Service?
Recording Notification Service is a free service offered by the Recorder’s office that alerts citizens via email when a document is recorded in their name. Click here to sign up for our Recording Notification Service.
Is there a fee to subscribe?
No. The Recorder’s office provides the Recording Notification Service at no charge.
How does the Recording Notification Service work?
On the Real Estate Fraud Alert - Recording Notification Service sign up page, you may enter up to 5 name variations per email address. When a document is recorded with a name that is being monitored, an email will automatically be sent to the provided email address.
Can I add more than five names?
Currently, only five names may be assigned to one email address. Additional names must be assigned to a different email address.
My last name is very common; will I receive notification alerts that could possibly belong to someone else?
It is very possible to receive an alert that may actually pertain to another individual with the same last name and first name as you. Click the link provided in the email to see the document in question. Review the document to determine if it is your property.
My name is spelled differently on occasion; how would I enter it?
For cases like this, it is highly recommended you enroll each variation your name is being spelled. For notification alerts to be sent, name spelling must match exactly.
How long does my name stay on the Recording Notification Service list?
Your name will remain on the notification list indefinitely. You may edit the contents at any time. You may remove it by unsubscribing from the service.
What documents will I be notified about through the Recording Notification Service?
The Recording Notification Service alerts you to newly recorded documents only, i.e.: documents that are recorded after you have signed up. To search documents previously recorded under your name, click here to access HCRO Main Search page.
What information is provided in a recording notification alert email?
The recording alert will identify the name registered in the subscription and a link directing you to the recorded Document Details page on the Hamilton County Recorder's web site.
I received an alert on my property, how can I obtain a copy?
Click the link provided in the notification email message to view the details of the document on our web site. There will be an option on that page to View the Image of the document.
If a document is recorded on my property, does the Recorder's Office take any legal action?
The Recorder's Office is prohibited by law to give legal advice or take legal action regarding a recorded document if the document meets the recording requirements. Our office must record all documents that meet the requirements outlined in the Ohio Revised Code.
I received an alert, what does the document mean?
Per the Ohio Revised Code, the Recorder’s Office is prohibited from interpreting the contents of the document or providing legal assistance. We recommend seeking your personal legal counsel for any questions regarding the contents of the document.
Does this service prevent someone from recording a document on my property?
No. This service will only notify the subscriber of a recorded document based on the enrolled name. Our office must record all documents that meet the requirements outlined in the Ohio Revised Code.
What should I do if I think I have been subject to fraud?
Hamilton County cannot offer legal advice. If you are concerned, we recommend contacting local law enforcement and seeking assistance from legal counsel.
I own multiple homes and/or properties in several different counties; will one subscription entry in one county cover me for all counties?
No. You must subscribe to each county individually (if the service is available).
Does this integrate with any online monitoring services (e.g. LifeLock)?
No. This is a separate service that will only notify the subscriber of a recorded document based on the enrolled name.
